Introduction to Training and Development

Training

Training is a systematic process of developing Knowledge, Skills, Attitude and Technology that is needed to assist a person to perform better in the present job. It helps the individual to do his present job well and meet up to the expectations and requirements of the demands of the job.

Development

Development refers to helping an individual to meet up to the expectations of a higher and more challenging job in the future. This is also referred to as guided growth.

Importance of training and development
  • It improves performance of an employee and thereby improving the performance of the overall organization.
  • Improve productivity - It contributes for both individual and organizational productivity.
  • Improve efficiency - Result in maximum resource utilization and reduce wastage leading to better performance of the organization.
  • Increase moral and positive attitude.
  • Improve career progression of employees.

In the training and development, an employee is exposed to perform at a given task than his routine performance. This process enables the employee to rise through career ladder, along with improvement in organizational performance.

Process involved in the Training & Development

Initial Assessment

As an initial step, the training needs should be assessed by an initial assessment.  The mechanism involved should be in keeping with the scope and objectives of the organization. It should also be in line with the existing capacity of the employee, as the introduction of too advance training sessions may not contribute for an improvement of the capacity of an employee initially.

Each learning situation should help an employee to move from her or his present skill level to a desired skill level. Even though the training process involves many activities, an employee should be able to exist all skills along with knowledgeable and experiences in the assigned subject.

Identification of a proper training module should be carried out depending on the present employee capacity and organizational scope a training module could be selected. Furthermore in view to make the training more effective the training materials should be carefully selected and prepared.

In the training and development process, it is needed to create an environment for the employee to learn and get exposed to a wider scope. The activities would allow the employee to successfully accomplish the learning objectives. Therefore, when developing training materials, our priorities are to:
  • Create an effective learning environment.
  • Make the learning steps clear for participants.
  • Develop activities and exercises that help the employee master the material.
  • Emphasize critical learning objectives.
  • Maximize learning opportunities for the employee.

An organization looks at training and development as an integral part of the human resource development activity. Most organizations have mandated training hours per year in advance.

In the process of training it involves change in knowledge, skills and attitudes of an employee with the resultant improvement in the behavior. For training to be effective it has to be a planned activity conducted after a thorough need analysis and target at certain competencies, most important it is to be conducted in a learning atmosphere.

When designing the training module it has to be in keeping with both the individual goals and organizational goals.

    Training presents a prime opportunity to expand the knowledge base of all employees, but many employers in the current climate find development opportunities expensive. Employees attending training sessions also miss out on work time which may delay the completion of projects. However despite these potential drawbacks, training and development provides both the individual and organisations as a whole with benefits that make the cost and time a worthwhile investment. The return on investment from training and development of employees is really a no brainer.

    1. Hi Sanjeewa,
      I do agree with you on the issues you have pointed out in your comment and, yes it has been a huge challenge to companies as well. Specially, a large entity, which has a network of branches all over the country, has to face the cost factor and the miss out of the work time issue very badly. And as a solution, companies have come up with a new solution by introducing a Learning Management System (LMS). A Learning Management System is a structure, that has included content into modules, courses, and lessons, and track your employees’ performance. And it can be routed throughout the network with a minimum cost and employees can access to it, can get the information whenever they are ready. And I am expecting to add a detailed article on LMS in my blog as well. We’ll talk more about the LMS in the next article.

    I am not clear on this "Development refers to helping an individual to meet up to the expectations of a higher and more challenging job in the future." Are you referring to particular skill of the person or challanging all over in the job role??

    But I would like to point out here, Its all about process that achieving the goals of organization by employees through planning and functions of human resources management. So its clearly shows in this objective HRM will go through the research to achieve the every objective and all times planning requires to get collections training levels in order to forecast human resources supplies and precise direct of future human resources. We can here Identify the imperfect areas which require training and also working towards filling the needs gap with the best available training tools.

      From the phrase “Development refers to helping an individual to meet up to the expectations of a higher and more challenging job in the future”. I have referred not only a particular skill. It can be set of skills, which will make the employee to take a step forward in his job role. It is not mandatory to be work related. May be his personality or attitudes may get developed. But end of the day, the company will get the benefit, by filing the gaps of their work force by best available employees.

    When emphasizing the importance of Training and Development one of the major points that should be highlighted is, the whole process will help employees to discover some hidden capabilities and talents they are unaware of but they are good at and the organizations can take initiative to encourage employees to master such areas. In order to achieve this, the management staff of the organizations should be talented and skillful in identifying talents and capabilities of each individual employee through Talent Management process from the start of the employee’s career at the organization.

    Cost-effective approach for Training and Development:

    It’s really important to consider cost effective approaches when selecting Training and development methods for employees. Such development programs should be in line with the organization's context, job descriptions of the employees, employment contracts and other collective agreements.

    Further it must be a mandatory practice in every organization to plan for progress review sessions after conducting every Training and Development program. This progress review session should be a platform for both employees and management staff of the organization to discuss about the outcomes and next action points of the Training and Development process.

    The productivity of an organization depends specifically on the capability and ability of its staff, and how motivated they are. Capability' of a individual depends on his ability to work and the sort of preparing he gets. Whereas his individual capability is evaluated through appropriate determination strategy, his preparing is taken care of by the organization after he has been utilized by the organization.

    But my question is to whether the organization are identifying the lack skill of their employees before provide training...???

    If it like huge organization with large no of employees, How it will be validated??? & Shall we assume that all employees utilize the training fully engaged??/

    1. Hi Reha,
      Utilization of the training for better output or absorbing the essence of the information depends on the employee. That’s why it is called Human Resource Management. Unlike a computer program, we cannot expect same output from two different individuals, even if we feed exactly the same information to both of them. Some might see this as a negative attribute of the human resource but different ideas are the roots of innovation. This diversity is essential for an entity to grow in a sustainable manner.

      And identifying the deficit units in an organization is a bit complex process. I will share below a detailed article about the topic by Kelly Smith.

Hi Shashikala, as you have mentioned, it is without any doubt true that, Training & Development is an crucial function in fast spaced corporate world and it allows employees to acquire new skills, sharpen existing skills, perform better and to be better leaders. In addition to the fact that you have mentioned under Importance of Training & Development, I would like to point out some more points that I found would be helpful to everyone. These are,
    • Training can be a New Hire Orientation - as it is particularly important for new employees. This can be conducted by someone within the company and should serve as a platform to get new employees up to speed with the processes of the company and address any skill gaps.

    • Training & Development can tackle shortcomings - as every individual has some shortcomings and training and development helps employees iron them out.

    • It ensures Self driven Ability- as employees who have attended the right trainings need lesser supervision and guidance. Training develops necessary skill sets in employees and enables them to address tasks independently. This also allows supervisors and management to focus on more pressing areas.

    Dear Shashi, T&D is the core in Human Resource Management to craft long standing Human Resource. In my experience, this topic is very nice but it is very hard to implement because all that depend on the organizational culture, its values and practices.

  9. Training implies enhancing the skills and knowledge of the employees for performing a specific job. Training tries to improve employees’ performance in current job and prepares them for future job. The crucial consequence of training is learning.

    Following objectives in common, expected out of Training

    1. prepare employees to meet the varying and challenging needs of the job and organization.
    2. provide knowledge and skills to new entrants and to help them to perform their role and job well.
    3. coach employees for more complex and higher level jobs.
    4. educate employees new and innovative ways and techniques of performing job.
